WhatsApp appointment reminders: how they work

Confirmation at booking, a reminder before the appointment, and cancellation from the message itself. Nothing typed by hand.

A WhatsApp appointment reminder is an automatic message your client receives before their appointment, with the date, time, service, and professional. Because it lands in the app they already check every day — not in an email they might never open — it's the most direct way to turn a booked appointment into an attended one.

In TimeNest the whole flow is automatic: at booking, the client gets a confirmation with the details; before the appointment, the reminder goes out; and from that same message they can check or cancel. If they cancel, the slot frees up instantly on your schedule.

The full flow, in three messages

1 · Confirmation at booking

As soon as the appointment is registered — booked by your client from your link or by you from the panel — a WhatsApp arrives with date, time, service, and specialist.

2 · Reminder before the appointment

An automatic message ahead of the scheduled time. With TimeNest Pro you decide when it goes out: a day before, a few hours before, or whatever works for your business.

3 · Cancellation without back-and-forth

Clients check or cancel from their own message, without calling you. A cancellation frees the slot instantly and puts it back on your booking page.

When should the reminder go out?

There's no single right moment: it depends on how far ahead your clients book and how easy a slot is to refill. These are the most common practices:

24 hours before

The standard for most businesses: it leaves time to rearrange the day if someone cancels, and the appointment is still fresh in the client's mind.

2 to 3 hours before

Useful for short, high-turnover appointments (barbershops, beauty studios): the client can't forget between the reminder and the time.

Both

For long or hard-to-refill sessions (spas, private practices), a reminder the day before plus one the same day covers both risks.

This is the message your client receives

The message arrives from a business account via TimeNest, with the appointment's full details. Your client doesn't need to download anything or create an account.

Frequently asked questions

How many WhatsApp messages does TimeNest include?

TimeNest Free includes 50 messages per month; when the limit is reached, sending pauses until your next cycle. TimeNest Pro includes 500 messages per month, and additional ones are billed per usage.

Can I choose when the reminder is sent?

Yes, with TimeNest Pro you configure the send time: a day before, a few hours before, or whatever scheme works best for your business.

Does my client need the TimeNest app?

No. Messages arrive on their regular WhatsApp, where they can see their appointment details or cancel. Only your business uses the TimeNest panel.

What happens when a client cancels from the message?

The slot frees up immediately on your schedule and becomes available again on your booking page for another client to take.

Do I need a card to try the reminders?

No. You can create your account on TimeNest Free, without a card, and your first appointments already go out with WhatsApp confirmation and reminder.
